Case studies - Equisys + Axis First
Taking automated fax capabilities into account
9th October 2003 - Axis First and Equisys join forces to provide XYZ Machine Tools with a complete fax-enabled accounting system to streamline their administration processes.
In April 2001, Axis First, a supplier of business management and e-commerce systems, installed their Axis Diplomat 2000 accounting software at XYZ Machine Tools. The customer subsequently requested additional automated fax capability, so Axis First turned to Equisys and their award winning fax software, Zetafax.
The Challenge
The Axis Diplomat 2000 software is available in a number of packages - Accounts, Payroll, Hire, Contact Management, BACS, Job Costing and Fixed Asset Register. XYZ Machine Tools made a decision to purchase the software in a bid to automate and streamline their existing systems. Once Axis Diplomat 2000 had been installed, XYZ Machine Tools realised that although their back-end processes were greatly improved, the document management aspect of their system still had to be resolved.
They needed a cost effective way to send out their statements and remittance notices directly from their accounting software, and decided that fax would be the best method, being a low cost, reliable form of communication which could be readily integrated into their new system.
The Solution
Andy Baker, Sales Manager at Axis First made the decision to deploy Zetafax for their customer. "We needed a fax software solution that could be easily integrated into our accounting software. We looked at various solutions and Zetafax seemed to offer the best value for money, ease of use and features."
Conrad Craven, Technical Support Manager, Axis First said: "The Zetafax API toolkit, developed by Equisys, gives Administrators a quick way to integrate Zetafax with virtually any other application. It was very easy to integrate Zetafax into Axis Diplomat and we were able to respond to our customer's requirement for a time-saving, automated and low cost solution in no time."
The Outcome
Zetafax is now used on a daily basis by employees at XYZ Machine Tools, not just for faxing from their accounting system but also as a standalone product.
Jacqui Burton, Accounts Manager at XYZ Machine Tools had this to say about Zetafax: "We use Zetafax on a daily basis and find it a cost effective, reliable and labour-saving way to fax purchase orders to suppliers. We use Zetafax to fax directly from within our accounting package, in addition to faxing directly from Word and Excel. We send thousands of invoices and purchase orders via Zetafax every year, instead of printing, folding and posting the documents, so we save significant amounts of time and money. The delivery is both more immediate and reliable as we receive confirmation of receipt of documents. Zetafax is very easy to use and the archiving facility makes filing much easier as we don't have to keep hard copies of faxes any more."
