Save changes when using Zetadocs AP Automation

This article describes the new features and other improvements in the October 2025 update of the Zetadocs Delivery and Zetadocs Capture Extension for Business Central.

Release date, version and availability 

October 23, 2025 (version 3.1.25283) available for download for on-premises Business Central systems and on Microsoft AppSource for Business Central Online systems from the release date.

Feature enhancements

The following new feature enhancements are included in this release:

Save changes when processing invoices using Zetadocs AP Automation

The Zetadocs AP Automation workflow has been improved, allowing users to save any changes made on the Zetadocs Preview and/or Order Matching screens. This is useful in scenarios where an invoice is not ready to be fully processed (e.g. awaiting receipt on some line items), but any changes already made can be retained to save time later when doing the final processing.

Display  and edit the posting date on the Zetadocs Preview screen

The Zetadocs AP Automation Preview screen can now be personalized to display the posting date for the invoice, which is populated according to the main Business Central settings for the posting date and valid date ranges.

Access to the posting date field has also been added to the Zetadocs SDK, to allow further customization to achieve specific business requirements where needed.

Quality and performance improvements 

This update includes several quality and performance improvements, including the following:

Improved performance and stability when uploading files to document queues

The document queues have been re-architected to enhance performance and provide better support for large files and large batch uploads. Documents should now appear in the 'Ready' state sooner. 

Unable to deliver records using hard copy option (where Zetadocs Template contains E-Mail Preview contents more than 5MB)

Removed an incorrect error relating to template content size when delivering records via hard copy method.

Configuration import fails with 'Customer no longer exists' error

Improved behaviour of the Zetadocs Configuration import. Previously the import of configuration data would entirely fail if a customer rule existed for a customer that is no longer in the system. Zetadocs now validates and skips the import of the rule of a customer, vendor or contact that no longer exists in the Business Central database.

Attachments from default template are not removed when overriding the template using a customer/vendor rule

Fixed an issue whereby the Zetadocs customer or vendor rule does not fully override the default system rule, leaving an attachment from the default Zetadocs Template in place.

'Cannot change location code' error when trying to process a document in the document queue.

Resolved an issue whereby if a purchase invoice record number of '1' exists in the Business Central database, an error 'Cannot change the location code as there are existing lines on the purchase header' is displayed and users are unable to process the document. 

Known issues with released features 

Combining or matching all invoice lines using the 'Select All' button when matching lines does not work.

Business Central has a 'Select All' button on most list pages, The Zetadocs AP Automation order matching page does not currently support use of this button, users should either multi-select or individually select relevant items instead. There is currently an incompatibility between Business Central's select all functionality and the data passed back to Extensions. A technote with a workaround provides more details.

Multi-selecting invoice lines to match and then reverting to a single selection matches the original multi-selected lines instead

The multi-select for matching is generally functional, but there is a specific case whereby if a user has multi-selected some lines and then reverts to selecting a single line within that original selection, then the matching will happen for all the original selected lines. There is a fault in the retaining of selection information and Microsoft have confirmed that this will be resolved in an upcoming release of Business Central.

'Zetadocs could not perform the authorization' error when using the Documents FactBox

On 10th October 2025, an updated version (3.1.25282) of the Zetadocs Delivery & Capture Extension was released with some adjustments to processing behaviour as a potential improvement for an intermittent issue impacting some customers using the FactBox. More details on this issue can be found here.
